DTZ Valuation Information System

Background

The reputable DTZ possess a large client base. The company serves several major bank, enterprise as well as individual customers. The ordinary properties database adopted by the company is simply a storage of properties information. This kind of traditional database system poses a major problem that it has become a bottleneck of their front line valuation service. China Ace Technology has take over the mission in designing customized solution to serve their problem.

After a careful study to the organization procedure, we worked closely with our client to devise a solution that they think is the most acceptable. The DTZ Valuation Information System has been one of our successful product which generated huge improvement in daily operation, saved time and eased the job of employees, and most importantly, it enable the corporation to further establish their professional image.

Challenge and lesson learnt :
 


In order to meet the project deadline requirement as specified, we have put enormous efforts in planning. Due to the sophisticated nature of this project, relating to the integration of different work process of the department, many details will be affordable to be missed out and if it does happen, the usability of the final product will be harmed. We followed the standard procedure to submit a detailed system design specification to the client for approval before starting the development works, so that any ambiguity and defects can be clarified and resolved in the early stage.


Work flow :

  1. Collect and analyze client's business flow.
2. Conceive the initial solution. Construct a demo system based on client's comment.
3. Submit Design Specification.
4. Programming, testing (quality assurance). First beta release.
5. Collect change requests, final testing, user manual, system launch.
6. Follow up maintenance services.

  At the end, we spent 6 months to develop and install the VIS system. The following are the results attained by the system :
 
  • Streamlined work flow
  • Valuation jobs made computerized, data are properly stored, saved paper usage
  • Improved speed of valuation information retrieval and department's internal information sharing
  • Standardized valuation records format, reduced service respond time
  • Simplified report creation process by replacing manual input with direct print function
  • Facilitated the referencing of historic valuation results with the automatic retrieval of old valuation result during a verbal valuation task

  In term of workflow integration, the VIS system successfully combined originally separated valuation processes. These work processes are collectively managed.The work result of an individual work will be passed on to the next work process smoothly, and the staff of the next work process will be acknowledged by the system that a new job is here for her to take over. As such, the job status of each work package can be monitored and recored, thus ultimately minimize the risks of negligence, careless mistakess and delay. The VIS workflow is illustrated as follow:
